The project coordinator role is a perfect entry point to the exciting world of commercial construction, where the right candidate will learn and take part in the design-build process, client service, marketing, and more.
More than simply a desk-bound administrative position, the project coordinator is a key member of the team, often on the move.
Creativity, caring about getting details right, and a go-getter personality will set the ideal candidate apart, and create opportunities for growth in the company.
This position reports directly to the owner.
Primary Responsibilities
Working with Project Managers:
- Going onsite to client projects, as well as participating in planning meetings with internal and client contacts;
- helping with design selections;
- helping to keep project communications and details on track;
- Participating in monthly team meetings.
Assisting with marketing and promotions activities including:
- Helping to coordinate our 2 major live festivals, including working with caterers, bands, police, and event suppliers;
- Providing input on and helping to create promotional materials and social media for the events and for the company as a whole.
Helping to provide and support client services, including:
- Client calls and scheduling of all new sales appointments;
- Following-up with customer/prospects needs, inquiries and concerns;
- Providing timely and exceptional client support and visits to deliver promotional materials;
- Managing the client database and key contact information on the CRM platform.
Assisting with project coordination tasks such as:
- Drafting and proofing of correspondence, responding to incoming calls, and assisting with record keeping;
- Completing draw schedules, filing lien waivers and city permits;
- Delivering and retrieving permits or copies of architectural plans from the City of Raleigh.
Qualification Requirements:
- Excellent verbal and written communication skills
- Attention to detail with excellent proofreading capabilities
- Exceptional organizational and time-management skills
- Ability to identify and resolve issues with a sense of urgency
- Professional etiquette and service-oriented mindset
- Advanced proficiency in Gsuite (Sheets, Docs)
- A valid driver’s license and safe driving record

Description:
- Develop initial schedule for project, then update, maintain, communicate, and manage all subcontractors and vendors in accordance with the schedule
- Keep informed on and ensure that all requirements of insurance, safety, labor relations, and Equal Employment Opportunity are met
- Inspect jobsite to assess construction progress and keep all involved parties updated on a regular basis (including weekly update for clients)
- Develop, review, approve, and implement project budgets, schedules, and contract bid documents
- Coordinate and provide direction for budget estimation, purchasing, engineering, accounting, cost, construction functions
as they relate to completion of project - Possess working knowledge of all project plans, specifications, Owner Contract, subcontracts, purchase orders, daily
correspondence, shop drawings, submittals, and all other project documents - Ensure timely and accurate billings, accounts receivables, and project completion through scheduling and management of material and document submittals and approvals
- Provide organization, direction, and training of subordinate project team members
Qualification Requirements:
- Bachelor’s degree in related field (Construction Engineering or Construction Management preferred), from an accredited college
or university preferred - Two or three years of experience as an Assistant Project Manager or at least five to seven years of construction related experience
- Demonstrated competency in the areas of estimation, scheduling, budgeting/cost control, field supervision, financial reporting, client
relations, interpersonal skills, computer skills, safety/insurance, and written and oral communication skills - Proficient with personal computer based project management and scheduling software, and proficiency in current corporate software
packages.
